What You'll Do
As a Parts Specialist, you will play a critical role in Ever's vehicle reconditioning operation by ensuring our technicians have the right parts, at the right time, and at the right cost. Based on-site at our Irvine Reconditioning Center, you will own the day-to-day coordination of automotive parts—from identification and sourcing through receiving, inventory, distribution, returns, and reconciliation.
You'll work closely with technicians, reconditioning leadership, and external vendors to minimize parts-related delays and keep vehicles moving efficiently through the reconditioning process. This role is ideal for someone who is highly organized, resourceful, and comfortable managing multiple priorities in a fast-paced automotive environment.
Key Responsibilities
• Parts Identification & Sourcing: Identify and source the correct parts needed for vehicle repairs and reconditioning using VINs, part numbers, catalogs, diagrams, vendor systems, and other available resources.
• Ordering & Purchase Orders: Manage the end-to-end parts ordering process, including obtaining pricing and availability, creating purchase orders, placing orders, and ensuring purchases are properly documented.
• Order Tracking & Follow-Up: Actively track outstanding orders, backorders, and expected delivery dates. Follow up with vendors and communicate potential delays that could impact vehicle completion timelines.
• Inventory Management: Maintain accurate on-hand inventory through regular cycle counts, inventory audits, and timely reconciliation of discrepancies.
• Receiving & Quality Control: Receive and inspect incoming shipments for accuracy, quantity, condition, and part compatibility. Quickly address incorrect, damaged, or missing items with vendors.
• Parts Allocation & Distribution: Label, organize, stage, and allocate parts to the appropriate vehicle, repair order, or technician to support efficient shop workflow and prevent misplaced parts.
• Technician & Shop Support: Partner closely with technicians and reconditioning leadership to understand upcoming repair needs, prioritize urgent requests, and resolve parts-related issues that may delay vehicle readiness.
• Returns, Warranties & Core Management: Coordinate returns of unused or incorrect parts, warranty claims, and core returns while ensuring applicable credits are received and properly documented.
• Cost & Invoice Accuracy: Review parts pricing, invoices, purchase orders, and credits for accuracy and escalate discrepancies when necessary. Help identify opportunities to reduce unnecessary costs while maintaining quality and availability.
• Supplier Relations: Develop productive relationships with dealerships, distributors, manufacturers, and other parts suppliers. Coordinate pricing, availability, lead times, delivery expectations, and issue resolution.
• Parts Organization: Maintain a clean, organized, and clearly labeled parts storage area that allows inventory and vehicle-specific parts to be located quickly and accurately.
• Documentation & Systems: Maintain accurate records of parts orders, receipts, transfers, returns, warranties, credits, and inventory adjustments within applicable company systems.
• Process Improvement: Identify opportunities to improve parts sourcing, inventory accuracy, storage, ordering workflows, and communication to reduce delays and support faster vehicle turnaround.
• Cross-Functional Collaboration: Work closely with Reconditioning, Operations, and other internal teams to ensure parts availability aligns with repair priorities and vehicle production goals.
Qualifications & Experience
• 1–3+ years of experience as a Parts Specialist, Parts Advisor, or in a related automotive parts, service, reconditioning, or collision environment preferred.
• Strong working knowledge of automotive parts, terminology, and basic vehicle systems, including the ability to identify and source parts using VINs, part numbers, catalogs, and vendor systems.
• Experience with parts ordering, receiving, inventory control, returns, warranties, and core management.
• Strong organizational skills and attention to detail with the ability to manage multiple orders, priorities, and deadlines.
• Comfortable using inventory management software and other computer-based systems; able to quickly learn new tools and processes.
• Strong communication and interpersonal skills with the ability to collaborate effectively with technicians, managers, vendors, and cross-functional teams.
• Ability to thrive in a fast-paced, hands-on environment and work both independently and collaboratively.
Physical Requirements:
• Ability to regularly stand, walk, bend, reach, and move throughout the parts and service areas, and lift, carry, push, or move automotive parts and materials weighing up to 50 pounds, with or without reasonable accommodation.
What Success Looks Like
You'll be successful in this role when technicians can rely on parts being accurate, organized, and available when needed; outstanding orders and backorders are proactively managed; inventory records remain accurate; and parts-related delays are minimized so vehicles continue moving efficiently through reconditioning.
