What’s Cool About This Job

We are seeking a highly organized and proactive Senior Executive Assistant to help support two C-Suite Executives. This role demands a meticulous attention to detail, a high level of professionalism, and the ability to manage multiple tasks efficiently in a dynamic, fast-paced environment. The ideal candidate will be a problem solver who is adept at prioritizing tasks and managing communications across the organization.

Responsibilities Include

  • Manage and maintain executives' schedules, appointments, and travel arrangements.
  • Act as the point of contact between the executives and internal/external clients.
  • Handle confidential documents ensuring they remain secure.
  • Prepare invoices, reports, memos, letters, financial statements, and other documents.
  • Handle incoming emails, calls, and other forms of correspondence.
  • Take minutes during meetings and follow up on action points.
  • Conduct research and prepare presentations or reports as assigned.
  • Provide strategic input on executive level project management and follow up with team members where required.
  • Manage the operational cadence of the organization to ensure that all pre-planning, meeting scheduling, and follow-ups are completed for major business initiatives throughout the year.
  • Take ownership of small projects as they come up for example, crafting team communications, creating slides for all hands, managing overall budget and plan events for the team within the budget requirements
  • Handle administrative functions for the executives leadership team on an “as needed” basis with items such as internal events, corporate meetings or special events.
  • Provide general administrative support.

Desired Qualifications

  • You have 8-10 years experience in a C-Suite executive administrative support role. Support in Sales, Go To Market and Product roles is preferred.
  • In-depth understanding of Gmail and the entire MS Office suite.
  • Ability to organize a daily workload by priorities.
  • Must be able to meet deadlines in a fast-paced, quickly changing environment.
  • A proactive approach to problem-solving with strong decision-making skills.
  • Professional level verbal and written communications skills.
  • Strong organizational, project management and problem-solving skills with impeccable multi-tasking abilities.
  • Lead with empathy, and value discretion and confidentiality.
  • Friendly and professional demeanor.
  • Must be able to come into our office in Campbell, CA
  • Expectation to travel 15% as needed to support office events may be required for this role.

USA Residents Only: The hiring wage range for this position which the Company reasonably and in good faith expects to pay for the position in the specified geographic areas or locations, is $120,000-$150,000. Final compensation will be dependent on various factors relevant to the position and candidate such as geographical location, candidate qualifications, certifications, relevant job-related work experience, education, skillset and other relevant business and organizational factors, consistent with applicable law. In addition, the position may include some of the following comprehensive benefits such as Medical, Dental, Vision, Life, 401(K), Flexible Time off (FTO), sick time, leave of absence as per the FMLA and other relevant leave laws.
